What to include in an office cleaning scope

A useful brief separates shared areas, restricted spaces and operating requirements before discussing a quote.

Describe the operation as well as the square footage

The size of a space is useful, but it does not explain how the space is used. Identify the type of business, the approximate number of rooms and which areas receive visitors or regular staff traffic. A quiet office and a customer-facing space can have different priorities.

State the proposed cleaning window and any hours when access is restricted. If work must happen outside operating hours, discuss actual availability before treating the time as confirmed.

List shared spaces separately

Reception, restrooms, break rooms and circulation areas each need a defined scope. List the surfaces and floor types involved. If there are appliance interiors, interior glass or other detail tasks, ask about them explicitly.

A room name alone is not a checklist. “Break room” could mean counters and floor care or include tasks that have not been discussed. Specific items make it easier to compare the work proposed and the result expected.

Define what should not be disturbed

Clarify how paperwork, desks, devices, displays and stock should be treated. Identify restricted rooms and who can authorize access. Do not assume a cleaning provider can decide which documents can be moved or which equipment can be disconnected.

Employees can help by keeping agreed work surfaces accessible. A consistent clear-desk practice may be useful for a particular office, but the business should define that practice rather than leaving it to the cleaner to infer.

Check building and specialized requirements early

Ask the property manager about service access, required documentation and any constraints that apply to the building. Bring those requirements into the quote conversation before a schedule is agreed.

Describe any specialized environment accurately. Regulated facilities, food production, medical spaces, specialist equipment and industry-specific protocols should never be assumed to be covered by general commercial cleaning. The request needs to match the provider’s confirmed scope.

Choose a responsible contact

Name the person who can answer questions about access, priorities and changes to the work. Decide how issues will be reported and how any additions will be reviewed. A short, clear point of contact is more useful than multiple conflicting instructions.
